Congress Registration and Attendance Terms

By registering for or attending a Latin American Studies Association (LASA) Congress, you agree to the following policies and terms:

Registration fees policy

No participant in the LASA Congress is exempt from paying registration fee.

Registration Policy

All those attending sessions, including speakers, discussants, and session chairs, are required to register for the Congress. In addition, we ask participants to wear their LASA name badges during session hours to identify themselves as registered participants.

During meetings, attendees not displaying a valid name badge may be asked to provide proof of registration. If you are asked to provide proof of registration and are unable to do so, you will be required to register immediately or be removed from the meeting.

Refund Policy

Congress registration fees are non-refundable. Many more people would like to serve on panels than the Program Committee can accommodate. After discovering that participants agree to deliver a paper or act as discussants/chairs only to withdraw at the last moment, leaving panel spaces empty that others would have gladly filled, LASA has enacted a no-refund policy to encourage accepted panelists to fulfill their obligations to attend the meeting. As a result, LASA does not refund conference preregistration payment if a registrant is unable to attend the Congress. Please finalize your plans to attend the Congress before preregistering.

Policy for people with disabilities

We are committed to ensuring all our members have the proper accessibility to participate in the Congress. If you have any disability and would like us to fulfill specific needs to help you present/participate in the Congress please contact us.

Photography, Audio, and Video Recording

You consent to being filmed, photographed and recorded during and in connection with the meeting and consent to the use or publication of such recordings in any medium in connection with any promotional, educational or professional purposes of the LASA. You release the LASA and its directors, officers, employees, and agents from any and all liability arising from the recordings or their uses, including for infringement of proprietary rights, invasion of privacy, defamation or any other cause of action, and you waive any right to inspect or approve such recordings and any and all rights to payment of royalties in connection therewith.

Privacy

LASA may provide your name or other required personally identifiable information to the meeting hotel for verification purposes. LASA may contact you with information related to the Congress, including promotional information provided by meeting sponsors. LASA will not disclose your email address to any third party.

Other Terms

LASA expressly disclaims liability for any acts or omissions of LASA and for third parties including facilities, suppliers and exhibitors in conjunction with the meeting. LASA shall not be held liable for personal injury, property damage, theft, loss or damage of any kind suffered by you at or in connection with the meeting. You agree to indemnify, defend, and hold harmless LASA and its directors, officers, employees, and agents, from and against all claims arising out of your actions or omissions in attending the Congress.

LASA shall not be liable for any delays or failure in performance or interruption of services in connection with the Congress resulting directly or indirectly from any cause or circumstance beyond the reasonable control of LASA, including but not limited to, acts of God, force majeure events, war, terrorism, failure of transportation facilities, weather, accidents, fires, electrical failures, strikes, labor disputes, and government orders or regulations. LASA reserves the right to cancel this meeting without liability. The total amount of any and all liability of LASA will be limited to a refund of the (pre)registration fee.

It is the policy of the Latin American Studies Association (LASA) that all participants in LASA activities will enjoy an environment free from all forms of discrimination, harassment, and retaliation. As a professional society, LASA is committed to providing an atmosphere that encourages the free expression and exchange of scholarly ideas. In pursuit of that ideal, LASA is dedicated to ensuring equality of opportunity and treatment for all members, regardless of gender, gender identity or expression, race, color, national or ethnic origin, religion or religious belief, age, marital status, sexual orientation, disabilities, veteran status, or any other reason not related to scientific merit. Harassment of colleagues, students, or other conference participants undermines the principle of equity at the heart of these professional fora and is inconsistent with the principles of free inquiry and free expression. Harassment, sexual or otherwise, is a form of misconduct that undermines the integrity of LASA meetings and events and is considered by LASA to be a serious form of professional misconduct. Participants who violate this policy will be subject to appropriate disciplinary measures.

The opinions, statements, presentations, data, images, videos, documents and other information expressed or otherwise shared by presenters or other participants at the meeting are for informational purposes only. The views and opinions expressed by presenters are not those of LASA, unless expressly indicated otherwise. LASA is not responsible for the accuracy, quality or reliability of any of the materials presented, or liable for any damages arising therefrom. LASA reserves the right to substitute an equally qualified presenter in case of an emergency or cancellation.

The main Congress venues have a policy that requires permanent and mandatory security personnel. LASA does not have control over these security measures.

The availability of session rooms is subject to their capacity.
